Sequential Approval

Sequential approval process is a type of workflow which comprises a series of steps that a work must pass to be approved. The steps typically involve different departments and employees who review the work and either approve or reject it. When one department approves or rejects, the work then flows either forward to the next step for further approval or gets rejected. 

New → 1st Approval → 2nd Approval → Approved / Rejected

1) Add 5 Stages

  • New
  • 1st Approval
  • 2nd Approval
  • Approved
  • Rejected

2) Edit “New” Stage

Add Stage Information:

  • Status: New
  • Stage Name: New
  • Assignee (User or Group): Select a person or group that is best suited to make this decision.
  • Category: Transition Stage

Add Outcomes;

  • Outcome Name
  • Go to Stage: Select the Stage this action will go to

Outcome 1

  • Outcome Name: Approve
  • Go to Stage: 1st Approval

Outcome 2

  • Outcome Name: Reject
  • Go to Stage: Rejected

3) Edit “1st Approval” Stage

Add Stage Information

  • Status: 1st Approval
  • Stage Name: 1st Approval
  • Assignee (User or Group): Select a person or group that is best suited to make this decision.
  • Category: Transition Stage

Add Outcomes;

  • Outcome Name
  • Go to Stage: Select the Stage this action will go to

Outcome 1

  • Outcome Name: Approve
  • Go to Stage: 2nd Approval

Outcome 2

  • Outcome Name: Reject
  • Go to Stage: Rejected

4) Edit “2nd Approval” Stage

Add Stage Information

  • Status: 2nd Approval
  • Stage Name: 2nd Approval
  • Assignee (User or Group): Select a person or group that is best suited to make this decision.
  • Category: Transition Stage

Add Outcomes;

  • Outcome Name
  • Go to Stage: Select the Stage this action will go to

Outcome 1

  • Outcome Name: Approve
  • Go to Stage: Approved

Outcome 2

  • Outcome Name: Reject
  • Go to Stage: Rejected

Once the stages are completed,

5) Publish and try it out!

After receiving a ticket, this is what it should look like.

If the user Approves the request, then this ticket will be passed on to 1st Approval

If the user Rejects, the ticket will automatically close

If the 1st Approval user Accepts this request, then this ticket will be sent to 2nd Approval for the final decision making

If the user Rejects, the ticket will automatically close

2nd Approval then can make the final decision

Your final ticket Status:

  • Approved
  • Rejected
